Position Summary
This recruitment will be used to fill one full-time Program Representative 2 position for Ecampus at Oregon State University (OSU).
The Student Services Specialist is a Program Representative 2 in Oregon State Ecampus, the university's top-ranked online education provider. Information technology is essential for the incumbent to represent multiple programs at different academic levels, articulate policy/process across multiple programs units, while also managing a variety of support systems and program review systems. The person filling this position will have full responsibility, under the supervision of the director of student success, for the support of online students and departments. Overall, this position is critical to our unit's success in delivering services to diverse students and departments.
Ecampus enrollment is growing substantially each year in terms of the individual student head count and total student credit hours. Ecampus currently offers undergraduate programs and minors, as well as graduate programs offered online. Our student enrollment head count is comprised of non-degree seeking students, adding another layer of complexity to this position's constituents.
This position is expected to provide complex and detailed information for multiple academic programs and university policy and procedures, develop and maintain information and program review systems, make recommendations located on reviews, and to coordinate information as needed by the director of student success and the executive director of market development and student practice at OSU Ecampus.

In support of Ecampus student success, the Student Services Specialist provides advocacy and access to online students navigating the university's policies and processes.
Position tasks
55% - Program Representation:
Provide service to a variety of audiences: current students, in both degree seeking and non-degree seeking status, as well as corporate partners, faculty and other OSU administrative units. The nature of the service includes expertise of and articulating of institutional policy and procedure related to admission, registration, program requirements across a wide variety of undergraduate degree programs and minors, graduate programs, and corporate partnerships. Works closely with enrolled students regarding program requirements, and connected policies and procedures related to University attendance. Develops and maintains series of online orientations for newly admitted students articulating institutional policy/process, with connected reporting of student participation to academic advisors prior to advising appointments. Provides administrative support of OSU students enrolled in Ecampus courses, mediates with faculty and academic departments, and advocates with OSU administrative offices on behalf of Ecampus students and specifically for degree seeking students in Ecampus distance programs. Assists in identifying and resolving policy/process issues that present roadblocks for distance student success.
20% - Service Request Review:
Provides course registration override processing across all Ecampus offerings; assists students in navigating and submitting the Ecampus course drop/refund petition, advises students of petition processes, informs students of decisions and follows up with necessary parties to ensure processing is completed. Manages student services for corporate education partnerships, advises students of registration and scholarship processes, works in collaboration with the corporate education manager to ensure seamless transition for newly admitted students and consistent service to continuing students. Reports on corporate partnership service usage with recommendations to the director of student success and executive director of market development and student practice on projected service demands.
15% - Participant Review:
Provides mediation and problem resolution supporting enrolled students and faculty and articulates policies and processes located on institutional and departmental regulations. Works with academic programs to identify and adjust student coding issues. Manages Ecampus tuition billing adjustments for corporate education partnerships: pulls reports and calculates billing adjustments in collaboration with UABC and Student Accounts; informs students of adjustment decision as well as record keeping, annual analysis of participation and budget impact.
5% - Program Promotion:
Assists director of student success and executive director of market development and student practice in operation of corporate partnership programs. Maintains records, writes reports, answers correspondence and conveys important information to interested groups. Incumbent is an active participant in corporate program reviews, gathering and discussing program performance across multiple indicators with to Ecampus management for decision making.
5% - Other tasks as assigned.
Minimum Qualifications
Four years of technical- or professional-level practice analyzing or advising and/or instructing the public concerning specific programs or processes, monitoring a program, or performing participant reviews. Two years of the practice must have been comparable to a Program Representative 1 which involves monitoring, representing, and reviewing programs.
